What are board views and how to use them?

What board views are



Board views let you save and quickly access cards that meet a certain set of predefined conditions. Users can select a preferred combination of filters for a specific board, save it as a board view and share it with team members (or keep it private).

Views can be accessed in 1 click, making it quick and easy to locate cards with relevant information and saving users lots of time.

You can set up many views for the same board, and can access the views by clicking on the dropdown menu next to the board titles on the left side panel of Gmail:



There are 2 types of board views: default views and custom views.

Default views


Default views are automatically generated for each board and cannot be modified. They are:

Assigned to me: Cards that are assigned to you on that board.
Unread: Unread cards on that board.
Pending: Cards on that board with Pending status
Closed: Cards on that board that have been marked as closed.

The table below details the filters automatically applied in each default view:

Custom views


You can create your own custom views by saving unique combinations of filters and easily access them from the left side panel of Gmail.

For example, you may want to create a view to filter cards that are due soon or nearing an SLA breach.

Custom views are available for users in the Plus and Pro plans.

Creating a custom view



You can select a combination of the following filters to create custom views:

Email sender: Email sender name or email address.
Email recipient: Email recipient name or email address.
Email subject/ card title: Email subject (for email cards) or card title (for task cards).
Status: Status of a card (read, unread, open, pending or closed).
Tags: Tags currently applied to cards.
Assignee: Card assignee(s).
Color: Card color.
Sort: How cards will be ordered within a columns or list (none, newest first, oldest first, unread first, newest due date first, oldest due date first.

To create a custom view:

Open the dropdown menu next to the board you want to create the view for.
Click on "add view" option below the default views.
Select the combination of filters for your custom view.
Click on "Create custom view".



Sharing a custom view


Upon creation, custom views are visible only to you by default. You can share views with all board members by following the steps below:

Click on the 3-dot button next to the custom view you want to share.
Select the "Share with all board members" option.



To stop sharing a view, click on the 3-dot button and select "Stop sharing".

Editing, rearranging or deleting a custom view



Click on the 3-dot button next to the custom view you want to share.
Select the desired option.

Note only the creator of a custom view is able to edit or delete it.
