How to use Shared Contacts
Shared contacts let your whole team access and manage one up-to-date contact list inside your inbox. No more chasing down someone’s phone number or wondering if an email is outdated.
It works across channels. That means your shared contacts show up whether you’re chatting on email or WhatsApp.
Shared contacts are available on the Plus and Pro plans.
The Contacts Directory is where you’ll find a summary of all your contacts or companies.
By clicking on a sector, you’ll see a complete list with the person's or company’s name, email address, phone number, and domain. When you select a specific contact, a summarized history will open, displaying all past interactions in a clear and organized way.
To use the Contacts Directory, follow these steps:

Open the Drag dashboard > Contacts
Click the Drag icon in your inbox and go to the Contacts section.
Pick your view
Choose between the "People" or "Organizations" tab.
Browse contacts
You’ll find names, emails, phone numbers, and any notes added.
Click into a contact
View their full profile with all available info.
See your history
Inside each profile, you’ll see a timeline of all emails exchanged with that contact or organization.

Need to update someone’s info or add a note about a call you had? Just open their profile and start editing.
Everything you update is shared with your team, so everyone stays aligned.
If a conversation lives on a board you're not part of, you won’t be able to open the full message. But you will still see:
What board it’s on
Dates
Card type (email / WhatsApp)
Who owns the card
This helps you stay informed without exposing private conversations. If you need access, just ask the board owner or an admin.

Each card on shared boards is linked to one main contact. To see who that is:
Open the conversation
Go to the Contact tab
View or edit the contact’s profile right there
You can update contact info or add notes directly from this view.

Here’s how the system knows which contact to link to a conversation:

This tab shows all emails, notes, and tasks linked to that specific email address—perfect for tracking one-on-one conversations.
This tab shows everything tied to the company domain—great for seeing the full picture of your relationship with that business.
Both views give you the full story, whether you're looking at one person or the entire company.
Our shared contacts work cross-channel! This means that in one single view, you can access all previous conversations with a person or organizations, across email and WhatsApp. Here's how to link them:
Email contacts (the ones created from an email conversation) are automatically assigned to a unique email address.
WhatsApp contacts (the ones create from a WhatsApp conversation) are automatically assigned to a unique phone number (the one registered with WhatsApp).
If you add a domain to a WhatsApp contact, that contact will automatically be linked to that respective Organization, and be visible as a contact in the Organizations directory.
You will see the icons on left side of cards indicating if that card is an email or WhatsApp conversation.

To tweak your contact settings:
Click the Drag icon in your inbox
Go to Settings > Contact Settings

From here, you can:
By default, contacts from your personal board aren’t shared. You can change that so your team has access too.
Want to keep your contact list clean? Exclude addresses like gmail.com, hotmail.com, or anything non-work-related.
These settings help you focus on the most relevant and professional contacts.

View contacts and previous conversations within cards
Each card on shared boards is linked to one main contact. To see who that is:
Open the conversation
Go to the Contact tab
View or edit the contact’s profile right there

How we match contacts to conversations
Here’s how the system knows which contact to link to a conversation:
Conversation type | Description | How contact is inferred |
---|---|---|
Inbound conversation | Conversations where the first email was sent into that workspace | The ‘From’ email address of the first email. |
Outbound conversation | Conversations initiated from the workspace, where the first email was sent from the shared inbox email address | The first ‘To’ email address of the first email. |
Cards manually moved into boards | Conversations manually sent to the workspace, by either dragging or using the "move to board" option | The ‘From’ email address of the last email before it got added to the workspace. |
